Job Description

The Role

We are seeking a highly motivated and experienced Business Support Officer to join our Chemicals Trading Division, based in the Melbourne Head Office on a permanent full-time basis. This role involves business coordination and assisting the Division in contract administration, trading activities and handling customer inquiries. You will be responsible for commercial coordination and documentations for the trading business. 

Your key responsibilities will include, but are not limited to:

  • Provide business and administrative support to the Chemicals Division team
  • Assist with the execution and coordination of international trade and domestic transactions 
  • Manage purchase/sales orders, shipping arrangements and inventory updates 
  • Liaise with overseas offices, suppliers, customers, shipping lines, and logistics vendors 
  • Prepare, verify, and process shipping and commercial documents (e.g., invoices, packing lists, BLS, CoAs) 
  • Support internal processes including approvals, compliance checks, and reporting
  • Assist in trade-related banking transactions, including letters of credit and remittances 
  • Coordinate meetings, business travel, and expense claims for the team  

The Person

We are seeking a proactive  trading administrator with 5 years’ experience in business coordination and documentation experience in trading, importing and exporting activities. You possess excellent communication and coordination skills and are adept at managing multiple tasks, with a keen eye for detail. Your ability to work effectively with internal and external stakeholders will ensure you excel in this role.

Qualifications

  • Tertiary qualification or part qualification in International Trade or relevant business discipline
  • Completion of a Business Administration course and/or an import/export course is preferred.

Required Skills & Experience

  • 5 years of experience in a business support, trading assistant or logistics coordination role (preferably in chemical, trading, or industrial sectors) 
  • Solid commercial understanding of international trade transactions 
  • Working knowledge of Incoterms and shipping documentation procedures
  • Experience handling trade-related banking transactions, including letters of credit and TT payments
  • Familiarity with coordination of logistics vendors and freight forwarding processes 
  • Excellent organisational and time management skills, with strong attention to detail 
  • Proficiency in Microsoft Office suite (Excel, PowerPoint, Word); SAP or ERP experience is an advantage 
  • Strong verbal and written communication skills, with ability to engage internal and external stakeholders professionally.
